OFFICE MANAGER
​
Part-time, 30 hours per week over 4 or 5 days. There is some flexibility in days/times but this must be agreed in advance.
Pay range (£19,077 - £21,428 pro rata)

Purpose of Job
-
To help coordinate and provide administrative support
-
To liaise with, and provide regular updates for customers
-
To support and liaise with the Workshop Manager and fitters
-
To support the general running of the workshop and office daily
-
Monitor emails
-
Highlight any urgent issues and respond where applicable
-
Create/Edit/Approve diary events
-
Carry out any ad hoc requests such as collating data and conducting research
HR
-
Approve and oversee holiday requests
-
Schedule PDR’S, collate forms and add to system accordingly
-
Manage staff induction (to include, HR, Payroll, H&S, IT etc.)
Company Health & Safety
-
To comply and actively promote policies, including Health and Safety.

Oversee annual and bi annual checks
Office Management
-
Manage Office supplies and daily post
-
Organise company events (i.e. Christmas Party)
-
Manage the company calendar
-
Manage van insurance/business insurance
-
Assist with documentation
-
Coordination and administration support for all sales
-
To liaise with suppliers to monitor and track all deliveries and chase any outstanding items
-
Track and follow up outstanding orders and to keep the workshop and customers informed as necessary
Person Specification and Experience
-
Strong administrative skills and background with a proven track record
-
Experience of using ICT to support administration including using spreadsheets and Word
-
Experience of administering database systems is an advantage
-
Experience with working to high levels of accuracy
-
Competent and effective user of IT, including Excel and Word and having the ability to learn to use MONDAY relatively quickly
-
Ability to work very accurately
-
Ability to work under pressure and remain calm
-
Abilities to lead, work as part of a team, to work independently and to think creatively
-
Willingness to adapt to changing needs and circumstances
-
Strong written and oral communication skills

Consistently able to work with all stakeholders in a diplomatic, professional and tactful way
